On paper, identifying an unaccompanied minor booking sounds straightforward. A child books a seat, no adult is on the same booking, flag it.

In practice, there are layers that make this complicated for transportation operators.

Different services have different rules. A local airport transfer and an overnight coach route have different policies. Your booking software needs to reflect that per activity, not across the board.

Not every child passenger triggers an unaccompanied minor (UM) situation. A student travelling alone is not the same as a child travelling alone. Your system needs to know the difference, and apply logic accordingly.

Custom information requirements vary by operator. Some need a guardian name and phone number. Others need an emergency contact, a destination contact, and a signed consent form. The fields you need for a UM booking should not appear on every booking, only on the ones that qualify.

Drivers need visibility before departure, not after. A driver checking a manifest 20 minutes before pickup needs to know immediately whether any passenger is an unaccompanied minor, without having to dig through booking notes or call the office.

Compliance reporting is not optional. If something goes wrong, operators need records showing who was on a booking, what information was collected, and whether consent forms were signed.

How the Feature Works

Zaui's Unaccompanied Minors feature is enabled through Marketplace and connects to activity settings, custom fields, itineraries, manifests, report builder, and customer notifications. Each layer builds on the one before it.

Enabling it in Marketplace

The feature lives in Zaui's Marketplace as an add-on. When you enable it, the system unlocks UM-specific settings across the platform: activity-level controls, custom field options, manifest columns, and report builder fields.

When the feature is off, it is hidden entirely from the interface. Existing UM data is stored safely in the background but is not accessible until the feature is re-enabled. This matters for operators who may turn the feature on seasonally or as part of a specific service rollout.

Activity-level controls

After enabling the feature in Marketplace, you configure each activity to decide whether it allows unaccompanied minors. This is a simple on/off setting in the activity's Advanced Settings.

If you enable it, the activity can accept UM bookings. The system evaluates passenger composition on every booking to determine whether UM handling applies.

If you disable it, UM logic does not run for that activity. If a booking composition that would normally qualify attempts checkout, the system blocks it with a clear message explaining that minors cannot travel unaccompanied on that service.

This means your overnight routes or connecting services can be locked down completely, while your direct daytime routes accept UM bookings with the appropriate information collection and consent workflow in place.

How the system identifies an unaccompanied minor booking

Zaui treats a booking as a UM booking when three things are true: the booking includes one or more child passengers, no adult or senior passenger is on the same booking, and the activity is configured to allow unaccompanied minors.

Student passengers are not treated as unaccompanied minors. A student travelling alone does not trigger UM fields, UM validation, or the UM consent workflow. A student travelling with a child is treated as a guardian. This distinction prevents UM fields from appearing on bookings where they do not belong, which matters for operators with student fare categories.

UM-only custom fields

Custom fields in Zaui can be marked as Unaccompanied Minors Only. When that setting is on, the field appears only when the booking qualifies as a UM booking. On every other booking, it is invisible and does not validate.

Fields you might configure as UM-only include:

  • Guardian name
  • Guardian phone number
  • Emergency contact
  • Destination contact name
  • Age of child
  • Special instructions
  • Consent acknowledgement

If a required field is visible, it blocks checkout until it is completed. If a field is hidden because the booking does not qualify as UM, it never blocks checkout. This rule is enforced consistently across the online booking engine and back office.

For bookings with multiple unaccompanied minors, fields can be set to repeat for each child using the Repeat For Each Guest option. If a booking includes three children travelling without an adult, the Age of Child field repeats three times so you collect the information for each passenger separately.

What Customer Service Teams See

When a booking qualifies as a UM booking, the itinerary shows a clear YES or NO under the Unaccompanied Minor field.

This indicator is not tied to whether a consent form has been signed. It answers one question: does this booking contain at least one unaccompanied minor? Waiver completion is tracked separately through dedicated signed count fields.

Customer service users in the back office can see UM status on any booking, review which UM-only fields have been completed, and identify whether consent information is outstanding. When editing a booking, UM-only fields appear when the booking qualifies and are hidden when it does not.

If your team regularly books on behalf of customers, this visibility means no booking gets missed during a manual review or a high-volume period.

What Drivers See on the Manifest

The manifest is built for the moment just before departure. Drivers need fast, clear information without having to scroll through booking notes.

Zaui's manifest shows:

  • Unaccompanied Minor: YES or NO at the booking level
  • UM Waiver Signed Count, if waiver tracking is configured
  • UM Total Count for the booking
  • UM-only custom field responses that have been added through Manifest Builder

The YES or NO indicator is based on passenger composition, not waiver status. A driver sees Unaccompanied Minor: YES even if the consent form has not been signed. This is intentional. A driver should know they have an unaccompanied minor on board regardless of whether paperwork is complete. Waiver completion is tracked separately so operations teams can follow up on outstanding forms without suppressing the UM flag.

SmartWaiver and Consent Forms

If your operation requires a signed consent form for unaccompanied minor travel, Zaui connects to SmartWaiver to handle this as part of the booking notification flow.

When Unaccompanied Minors is enabled in Marketplace, you select a SmartWaiver template to use for UM consent. When a qualifying booking is made, customer notifications include a consent form link under an Information Required section.

The notification reads: Consent Form for Unaccompanied Minors, with a direct link to the configured SmartWaiver template.

If no SmartWaiver template is configured, the UM booking is still flagged and UM fields still apply. The consent link simply does not appear. Operators using a different consent process can still use the full Unaccompanied Minors feature without being required to use SmartWaiver.

Reporting on Unaccompanied Minor Travel

Zaui's Report Builder includes dedicated UM fields for compliance reporting and operational review. Fields include:

  • Unaccompanied Minor: YES or NO
  • UM Passenger Count
  • UM Waiver Signed Count
  • Passenger name
  • Guardian name and phone number
  • Destination contact
  • Activity name
