No. Zaui is designed to be straightforward and user-friendly for operators. After the personalized training provided during onboarding, you and your team should find the system easy to navigate. It doesn’t require advanced technical skills to use day-to-day. And if you ever need help, Zaui’s support team is available to assist. Many tour and transport businesses without in-house IT successfully run Zaui thanks to its intuitive interface and the training/support provided.

My company doesn’t have a website yet. Can I still use Zaui for online bookings?

Yes. While having your own website is ideal, you can use Zaui even without one. Zaui provides a hosted online booking engine (Web Checkout) that can function as your booking portal. You can share a direct booking link or use Zaui’s embeddable widgets and booking buttons on any web page. This means you’re still able to accept online bookings 24/7 through Zaui.

How can I tell if Zaui is the right fit for my business?

Zaui offers a collaborative evaluation process. Their team will start with a discovery call to learn about your business, followed by a live demo tailored to your use cases. After that, you have the opportunity to assess the system (there’s even a free plan to start with) and decide if it meets your needs. Does Zaui support dynamic pricing to adjust our prices based on demand or timing?

Yes. Zaui includes a Dynamic Pricing toolkit that allows you to automatically adjust prices based on rules you set (e.g. time of booking, season, remaining capacity, day of week, etc.). Operators using Zaui’s dynamic pricing have seen revenue increase by up to 20%. The feature is highly customizable, and the system will update pricing in real time according to your rules.

Can I sell passes or memberships (e.g. season passes, multi-use tickets) with Zaui?

Absolutely. Zaui’s Passes feature lets you create digital passes for frequent riders or repeat guests (e.g., a 3-day unlimited ride pass or a 5-admission punch pass). These passes are linked to the customer’s profile and validated automatically on each use, simplifying repeat bookings and tracking usage for you.

What is Nera AI and how will it help operators?

Nera AI is Zaui’s intelligent insights assistant designed to help operators make data-driven decisions. This AI feature will analyze your business data (booking trends, route performance, etc.) and surface useful findings and suggestions. Instead of you manually digging through reports, Nera AI will highlight patterns and recommend actions to optimize your operations and pricing (e.g., suggest adding an extra departure or adjusting pricing on a popular route).

Can my customers manage or change their bookings on their own (self-service)?

Yes, Zaui offers self-service tools. The Self Editable Booking feature allows customers to retrieve their booking and make simple changes online without needing to contact you (e.g., update passenger details, change the tour date/time, or cancel a booking within your policies). This empowers customers and reduces administrative work for your team.

Can I bundle products or create package deals in Zaui?

Yes, Zaui supports flexible package creation. Using Zaui’s dynamic Packaging module, you can bundle your offerings with other services or products (including third-party items) into a single combined package. This creates convenience for guests and opens up cross-selling opportunities, while still tracking each component separately in your inventory.

Web Checkout & Mobile App

What is Zaui’s new Web Checkout, and how does it benefit my business?

Web Checkout is Zaui’s mobile-first online booking engine. It’s the comprehensive and intuitive interface where your customers make bookings online, designed for any device. You can embed it into your website or use it as a standalone portal. It provides a streamlined flow for guests to browse availability, select options, and pay. For operators, it increases direct online sales by making booking easy for customers, while reducing admin workload by automating booking management and preventing double-bookings.

Does Zaui offer a mobile app for on-the-go sales or check-ins?

Yes. Zaui provides a mobile app (iOS and Android) that acts as a mobile point-of-sale and operations tool. Your team can create new bookings, accept in-person payments, scan tickets or QR codes for check-ins, and view live passenger manifests from a smartphone or tablet. The app syncs with the main system in real time, so inventory is always up to date.

Integrations & Channel Management

Which online travel agencies or channels can Zaui connect to?

Zaui’s Channel Manager integrates with a wide range of Online Travel Agencies (OTAs). For tour/activity operators, this includes major marketplaces like Expedia, Viator, TripAdvisor, GetYourGuide, and Klook. For transportation providers, Zaui connects with global platforms like Busbud, GotoBus, Wanderu, and Distribusion. This allows you to expand your distribution reach while managing all inventory in one system.

What is the Channel Manager and how does it help prevent overbooking?

The Channel Manager is Zaui’s tool that keeps your inventory in sync across all sales channels in real time. Whenever a booking is made (on your site, via an OTA, or in-person), Zaui immediately updates the availability everywhere. This centralized approach ensures you won’t accidentally sell the same spot twice, providing a single source of truth for your availability.

Can other operators, travel agents, or concierges resell my tours?

Yes. Zaui offers Zaui Connect, allowing other Zaui operators to resell your offerings with live inventory syncing. Additionally, Zaui provides an Agent/Affiliate Portal for travel agents or hotel concierges. You can give them a special login or booking link to make reservations on behalf of guests, with commissions or net rates applied automatically at checkout.

Does Zaui integrate with other software tools I use (payment gateways, waivers, analytics)?

Yes, Zaui has a broad ecosystem of integrations. It supports over 20 global payment gateways (like Stripe, Authorize.net, PayPal, Moneris), digital waiver platforms (e.g., SmartWaiver), marketing tools, and analytics/accounting systems. Zaui also provides a well-documented API for custom integrations.

Pricing & Plans

How much does Zaui cost? What are the plans available?

Zaui’s pricing is designed to scale with your business. There are two main plans:

  • Free Plan: $0 per month. This plan is ideal for startups and small operators. Instead of a subscription, a 6% service fee is applied to your consumer online bookings. It includes the full core system (booking engine, back-office, mobile app, channel manager), onboarding, and support. This plan uses Stripe as the payment gateway. Onboarding Fee may apply
  • Enterprise Plan: Custom pricing. This plan is for established businesses with higher volumes. It typically involves a tailored subscription or lower transaction fee structure. It includes everything in the Free plan, plus full API access and the ability to use 20+ different payment gateways.

Both plans include initial system setup, one-on-one onboarding/training, and ongoing support.

Does Zaui limit the number of users, bookings, or inventory items I can have?

No. Zaui does not impose limits on the number of admin/user accounts, products (tours, routes, etc.), or bookings in your system. You can create as many staff logins and list as many products as you need without extra charges. The platform is built to handle large volumes and scale with your business.

Is there a free trial, and can I switch plans easily?

Yes, the Free plan effectively serves as a free trial since it has no monthly cost. If your booking volume grows, you can easily upgrade to the Enterprise plan in coordination with Zaui’s team. All your data remains intact when you switch plans. Onboarding Fee may apply.

Onboarding & Migration

What is the onboarding process like? Will we get help setting up the system?

Zaui provides a hands-on onboarding experience. Their team will work with you to configure the system to your business needs, help set up your account and initial inventory (tours, routes, pricing), and tailor the configuration. Training is included, so by the end of the process, you and your team should feel comfortable running day-to-day tasks in Zaui.

Can I migrate my existing bookings and customer data into Zaui?

Yes, in most cases Zaui’s team will assist you in migrating important data (like upcoming reservations, customer contacts, or product catalogs) from your previous system. They can often import data via spreadsheets or their API. This means you don’t have to start from scratch, and your future bookings can be loaded into Zaui for a seamless transition.

Do you offer training for my team?

Yes, training is a core part of onboarding. Zaui provides one-on-one training sessions tailored to your team’s roles (reservation staff, managers, etc.). They will teach you how to use the back-office and mobile app. Zaui also offers a library of training resources, including how-to articles and tutorial videos in their Knowledge Base.

Security & Payments

Is Zaui secure, and is it PCI compliant for payment processing?

Transactions are processed securely through accredited payment gateways, and Zaui’s infrastructure uses modern security practices like data encryption and secure servers. What payment options can I offer my customers through Zaui?

Zaui is very flexible, supporting 17+ payment gateways. Customers can pay online via major credit cards and digital wallets like Apple Pay and Google Pay. For in-person sales via the Zaui mobile app, it supports contactless payments and chip-and-pin card readers. Multi-Location & Multi-Brand

Can Zaui handle multi-location or multi-brand setups under one account?

Yes, Zaui is built for this. Within a single Zaui system, you can create multiple online booking portals, each with its own branding, products, and settings, but all tied to one master account. This is ideal if you run tours in different cities or have separate tour and shuttle businesses. You get centralized control with localized customization.

Can I manage all my locations and staff through one Zaui account?

Absolutely. With Zaui’s user management and role-based permissions, you can have all staff log into the same system and restrict their access based on location or role.
